
Safeguarding Learners Policy

1. Purpose
The Compliance Classroom is committed to supporting the safety and wellbeing of learners who access our online training services.
Our training is delivered online and is primarily intended for adults undertaking professional and compliance-related training. We nevertheless recognise that safeguarding concerns may occasionally arise through our interaction with learners.
This policy explains how The Compliance Classroom will identify, respond to and record safeguarding concerns that become known to us.
2. Scope
This policy applies to learners accessing training provided by The Compliance Classroom and to the Directors and anyone involved in the administration or delivery of our services.
Where training is purchased or arranged by a school, employer or other organisation, that organisation remains responsible for its own safeguarding arrangements and responsibilities towards its staff and learners.
This does not prevent The Compliance Classroom from taking appropriate action where a safeguarding concern becomes known to us.
3. Our Commitment
The Compliance Classroom is committed to:
- treating learners with dignity and respect;
- providing a professional and appropriate online learning environment;
- taking safeguarding concerns seriously;
- responding appropriately where there is reason to believe that someone may be at risk of harm, abuse, neglect or exploitation;
- handling safeguarding information sensitively and securely;
- sharing information where this is necessary and lawful to protect an individual from harm; and
- keeping our safeguarding arrangements proportionate to the nature of our services and under review.
4. Safeguarding Responsibility
Overall responsibility for safeguarding within The Compliance Classroom rests with its Directors.
As a small online training provider, we do not operate a separate safeguarding team. The Directors will consider any safeguarding concern that becomes known to The Compliance Classroom and determine what action is appropriate.
Where necessary, appropriate advice or assistance may be sought from relevant safeguarding services, professional advisers or statutory authorities.
5. Recognising a Safeguarding Concern
A safeguarding concern may arise where information suggests that a learner or another person is experiencing, or may be at risk of:
- abuse or neglect;
- physical or emotional harm;
- sexual abuse or exploitation;
- financial abuse;
- domestic abuse;
- discriminatory abuse;
- online abuse or exploitation;
- radicalisation; or
- another form of harm or exploitation.
A concern may become known through communication with a learner, information provided by another person or other information received in connection with our services.
A safeguarding concern does not need to be proven before it is raised.
6. Online Safeguarding
The Compliance Classroom will take reasonable steps to maintain a professional and appropriate online learning environment.
Communication with learners will be conducted through appropriate business channels. Personal contact information should not be exchanged unnecessarily.
Learner information, account details and access credentials will be handled in accordance with our privacy and data protection arrangements.
Learners will also have clear ways to contact The Compliance Classroom if they need to raise a concern about their experience of our service.
7. Responding to a Safeguarding Concern
Where a safeguarding concern is raised or identified, the Directors will consider the information available and determine an appropriate and proportionate response.
Depending on the circumstances, this may include:
- speaking to the learner where appropriate and safe;
- obtaining further relevant information;
- seeking professional safeguarding advice;
- referring a concern to an appropriate safeguarding service or statutory authority;
- contacting the learner’s employer, school, commissioning organisation or another responsible organisation where appropriate and lawful; and
- recording the concern and action taken.
Where there appears to be an immediate risk of serious harm, appropriate emergency or statutory services may be contacted.
The safety and welfare of the individual concerned will be an important consideration when determining the appropriate response.
8. Confidentiality and Information Sharing
Safeguarding information will be treated sensitively and access will be restricted to those with a legitimate need to know.
Information may nevertheless need to be shared where this is necessary to protect an individual or another person from serious harm, or where disclosure is required or permitted by law.
Any personal information relating to a safeguarding concern will be handled in accordance with The Compliance Classroom’s data protection and privacy arrangements.
9. Prevent and Radicalisation
The Compliance Classroom recognises that safeguarding concerns may include vulnerability to radicalisation or extremist influence.
Where such a concern becomes known to us, the Directors will consider whether specialist advice or an appropriate referral is required.
Any response will be proportionate to the information available. We will not make assumptions about an individual based on their background, beliefs, religion or political views.
10. Learners Under 18
The Compliance Classroom’s training is primarily intended for adult learners.
Where our training is made available to someone under the age of 18, we will consider whether additional safeguarding arrangements are appropriate having regard to the learner’s age, the nature of the training and how access has been arranged.
Where an organisation purchases or arranges training for a person under 18, that organisation remains responsible for its own safeguarding responsibilities and supervision arrangements.
If our provision expands significantly to include children or young people, our safeguarding arrangements will be reviewed before that provision is introduced.
11. Recording Safeguarding Concerns
Where appropriate, significant safeguarding concerns will be recorded. Records may include:
- the date the concern was identified;
- the nature of the concern;
- relevant information available at the time;
- action taken;
- referrals or external advice obtained; and
- the outcome, where known.
Safeguarding records will be stored securely and access restricted to those with a legitimate need to access the information.
12. Raising a Concern
Learners are encouraged to contact The Compliance Classroom if a safeguarding concern arises in connection with their use of our services.
Concerns can be raised using the contact details provided on our website.
Where someone believes that they or another person is in immediate danger, they should contact the appropriate emergency services rather than relying solely on The Compliance Classroom’s reporting process.
13. Review
This policy will be reviewed at least annually and sooner where there is a significant change to:
- the nature of our training;
- the age or vulnerability of our learners;
- the way our services are delivered;
- relevant legal or regulatory requirements; or
- our safeguarding arrangements.
If The Compliance Classroom expands into substantially different forms of education or training, including significant provision directly to children or young people, our safeguarding arrangements will be reviewed accordingly.
