Refund & Cancellation Policy

The Compliance Classroom wants customers to have clear information about payments, cancellations and refunds before purchasing training.

This policy explains how refunds and cancellations are handled for licences purchased through The Compliance Classroom.

1. Our Licences

The Compliance Classroom provides time-limited licences giving authorised learners access to the courses included within the applicable training suite.

Unless otherwise stated at the time of purchase, licences provide 12 months’ access from the applicable licence start date.

The number of learner places included depends on the licence purchased.

Current licence options, prices and the training included are displayed on our website before purchase.

Purchasing a licence provides access for the applicable licence period. Completing some or all of the available training before the end of that period does not bring the licence to an end or create an entitlement to a partial refund.

2. Payment

Payment for licences purchased through our website is normally made at the time of purchase using the payment methods available at checkout.

The total price payable will be displayed before an order is submitted.

Where The Compliance Classroom separately agrees alternative payment arrangements with an education setting or other organisation, any additional payment terms will be confirmed separately.

3. Cancelling A Licence

Unless you have a statutory or other legal right to cancel, a licence cannot normally be cancelled for a refund simply because:

  • the training has been completed;
  • the training is no longer required;
  • some learner places have not been used;
  • fewer learners than expected have accessed the platform; or
  • an organisation’s training requirements have changed.

If you believe you have a right to cancel, or there are exceptional circumstances affecting your licence, please contact us as soon as possible.

4. Renewal

Our standard website licences do not automatically renew unless this is expressly stated and agreed at the time of purchase.

Towards the end of a licence period, we may contact a customer about their existing licence, its expiry and available renewal options.

These service-related communications are separate from optional marketing communications.

A customer may choose to purchase a further licence to continue access.

If we introduce or agree an automatically renewing subscription or other renewal arrangement in the future, the applicable renewal and cancellation terms will be made clear before the customer enters into that arrangement.

5. Refunds For Unused Licence Periods Or Learner Places

We do not normally provide full or partial refunds simply because some or all of a licence remains unused.

This includes circumstances where:

  • learners complete their training earlier than expected;
  • some learners do not complete their training;
  • some learner places are not allocated;
  • fewer learners use the service than anticipated; or
  • the customer decides that the training is no longer required.

This does not affect any statutory rights or other legal rights to a refund or remedy.

We may also consider requests in exceptional circumstances in accordance with Section 9 below.

6. Incorrect Charges

If you believe you have been charged incorrectly, please contact us as soon as possible.

We will investigate the transaction and, where an error has occurred, take appropriate action. This may include correcting the charge or providing an appropriate refund.

7. Technical Problems Or Service Unavailability

We aim to provide reliable access to The Compliance Classroom platform but cannot guarantee uninterrupted availability.

Short periods of downtime caused by maintenance, updates or temporary technical issues will not normally create an automatic entitlement to a refund.

If a significant technical problem within our service prevents access for a prolonged period, please contact us so that we can investigate.

Where appropriate, we may provide a reasonable remedy depending on the nature, duration and impact of the problem.

This may include restoring access, extending access or, where appropriate, providing a credit or refund.

8. Where The Service Is Not As Described

If you believe that the training or service provided is materially different from what was described or agreed when you purchased it, please contact us as soon as possible.

We will investigate the issue and, where appropriate, take reasonable steps to resolve it.

Depending on the circumstances, this may include:

  • correcting the problem;
  • restoring access;
  • providing appropriate alternative access;
  • extending the licence period;
  • providing a credit; or
  • providing a refund where appropriate.

Nothing in this section limits any legal remedies available to you.

9. Exceptional Circumstances

We recognise that exceptional circumstances can arise.

Although refunds are not normally provided for unused licence periods or learner places, we may consider individual requests for cancellation, credit or refund where there are exceptional circumstances.

Each request will be considered fairly on its individual circumstances.

Any discretionary refund, credit or early termination offered under this section does not affect any separate legal right you may have.

10. Refund Method

Where a refund is due or has been agreed, we will normally return the payment using the original payment method where reasonably practicable.

The time taken for the refund to appear in your account may depend on the relevant payment provider or financial institution.

11. Consumer Rights

Some purchases may be made by individuals acting as consumers, while others will be made by education settings, companies or other organisations acting for business or professional purposes.

Different legal rights may apply depending on the circumstances of the purchase.

Where applicable law provides a cancellation period or other rights in relation to digital content or digital services, those rights are not affected by this policy.

Where a consumer expressly requests or agrees to immediate access to digital content or training during an applicable statutory cancellation period, this may affect their right to cancel once access or performance has begun, subject to applicable law.

Nothing in this policy excludes or restricts any statutory right or remedy that cannot lawfully be excluded or restricted.

12. Organisational Purchases

Licences purchased by or on behalf of education settings and other organisations are also subject to our Terms & Conditions and, where applicable, our School & Organisation Licence Agreement.

Where separate written terms have been agreed with an organisation, those terms may contain additional payment, cancellation or renewal provisions.

  • your organisation’s name, where applicable;
  • your contact details;
  • your order number, where available;
  • the reason for your request; and
  • any relevant information that may help us investigate.

We will review your request and respond as soon as reasonably practicable.

Personal information provided when contacting us about a refund, cancellation or payment concern will be used to respond to and administer your request and will be handled in accordance with our Privacy Notice.

Contacting us about an order, licence, cancellation or refund does not constitute consent to receive optional marketing communications.
