The Compliance Classroom is committed to protecting your personal information and using only the information necessary to provide and administer your training.
If you are accessing The Compliance Classroom through your employer, education setting or another organisation, your organisation will normally have provided the information needed to create your learner account and assign your training.
Information We Use
We aim to collect only the minimum personal information necessary to provide and maintain your training account.
This will normally include:
- your first name;
- your surname;
- your work or education setting email address;
- your organisation;
- courses assigned to you;
- course progress;
- assessment results;
- course completion information; and
- certificates issued.
We do not normally require your date of birth, home address, personal telephone number, health information, special category personal data or other unnecessary personal information in order to provide your training.
Please do not provide unnecessary or sensitive personal information through your learner account unless specifically requested and there is an appropriate reason for doing so.
How We Use Your Information
Your information may be used to:
- create and manage your learner account;
- provide access to your training;
- enrol you onto appropriate courses;
- record your course progress;
- administer assessments;
- record assessment results;
- record course completion;
- generate certificates and training records;
- provide technical and customer support; and
- maintain the security and integrity of the training platform.
The Compliance Classroom does not sell your personal information.
Your learner account and participation in training do not automatically add you to a marketing mailing list.
What Your Organisation Can See
If your training has been provided through an organisational licence, authorised administrators within your organisation may be able to access information about your training.
Depending on the administration and reporting features available, this may include:
- your name and work email address;
- courses assigned to you;
- course progress;
- assessment results;
- completion information; and
- certificates or training records.
Administrator access should only be used for legitimate organisational training and compliance purposes.
Your Organisation And The Compliance Classroom
Where your employer, education setting or another organisation provides your information so that you can undertake training, that organisation will generally act as the Data Controller for your learner information.
This means your organisation is normally responsible for determining why your information is used for staff training and the appropriate lawful basis for doing so.
The Compliance Classroom will generally act as a Data Processor, providing and administering the training platform on your organisation’s behalf.
The processing of learner information on behalf of organisations is governed by our Data Processing Agreement.
Where you purchase training directly from The Compliance Classroom yourself, different data protection arrangements may apply and The Compliance Classroom may act as the Data Controller for information required to administer your purchase, account and training.

Service Providers
The Compliance Classroom uses carefully selected third-party service providers to help operate, maintain, secure and support the training platform.
Where these providers process personal information on our behalf, appropriate data protection arrangements are put in place.
Some providers may process information outside the United Kingdom. Where this occurs, appropriate safeguards are used where required by applicable UK data protection law.

How Long We Keep Your Information
Your learner information and training records will normally be retained while you are authorised to access The Compliance Classroom and for an appropriate period afterwards.
For organisational licences, learner information will normally be retained for up to 12 months following the end of the organisation’s licence, unless:
- your organisation requests earlier deletion;
- a different retention period has been agreed;
- continued retention is required for legal or contractual reasons; or
- information temporarily remains within secure backups pending the normal backup deletion cycle.

Keeping Your Account Secure
You should keep your Compliance Classroom login details secure and should not share your password with another person.
If you believe someone else has accessed your account without permission, please notify your organisation or contact The Compliance Classroom as soon as possible.
Your Data Protection Rights
Depending on the circumstances and the lawful basis for processing, you may have rights in relation to your personal information, including rights of access, correction, erasure, restriction, objection and data portability.
Where The Compliance Classroom processes your learner information on behalf of your organisation, requests relating to that information may need to be referred to your organisation as the Data Controller.
